When planning an event, one of the biggest visual decisions you’ll make is choosing whether to showcase an LED Video Wall or Projection for your audience. And whether you’re producing a Corporate Conference, General Session for a Product Launch, Trade Show, Concert, Gala, or Association meeting, the display technology you choose will significantly impact your audience experience…
But honestly, many event planners approach this decision the wrong way, because the question simply stops at:
“Should I use an LED wall or a projector?”
When in reality, as an educated Event Organizer, the real question you should be asking is:
“Which display solution BEST supports my event goals, venue conditions, audience size, content strategy, and budget?”
When you approach your decision based on these variables, that’s when you’ll get the rich results that you’ve been searching for.
At LRAV, we’ve installed both Projection Systems and LED Video Walls for events of every size. And although we believe the industry is moving towards eliminating projection, neither technology is universally better because they simply excel in different environments.
And we know that making this decision isn’t always as straight forward as it should be, so we’re here to educate you on the processes involved in choosing the best visual experience for your event. So in this guide, we’ll break down the key differences between LED Walls and implementing a Projection System, explain where each solution shines, compare costs, and help you determine which option is right for you and your event.
So for starters, what is an LED Wall?
An LED Wall (also called an LED Video Wall, Direct-View LED Display, Event LED Screen, etc.) is made up of modular LED panels that connect together to create a large, seamless display surface. And due to its modularity, LED Walls can come in numerous configurations allowing you to virtually scale the wall as large as you like and shape it into various forms.
Unlike projection, LED Walls generate their own light, producing bright, vibrant images that remain visible even in high ambient light conditions, making them a go to solution for most large venues.
Common Applications for LED Walls Include:
-
General Sessions for large Corporate Events
-
Product Launches
-
Trade Show Exhibit Booths
-
Concerts and Festivals
-
Award Shows
-
Brand Activations
-
Broadcast Productions
Advantages of LED Walls
-
Extremely bright high resolution application that makes visuals much easier to view in unfavorable lighting conditions
-
High contrast and vibrant colors that make an event feel much more luxurious and professional
-
They are scalable to nearly any size or shape you can imagine
-
Ideal sources for Camera Captures and Livestreams
Considerable Drawbacks
-
LED Video Wall rentals are not cheap, and based on the general application and scale of the display, this can be a bit costly
-
It will add to your transportation requirements… an LED Wall can easily fill up to two or three 26ft Semi Trucks based on how large you want the wall to be
-
LED Walls are notorious for being damaged in transit, so you would generally want to rent additional panels in the event that a few get damaged on the ride to your event
-
It is undeniably a more labor-intensive installation and requires a much more hands on process than building a Projector Screen and “Flying” a Projector
-
The system needs a great deal of “active” power to run the system AND backup power in the event that something goes wrong with the main power source
Now the next question is, what Is Event Projection?
Projection has been a staple of the Live Event Industry for decades because it blanks as an effective solution by using one or more projectors to cast content onto a projection screen, wall, scenic surface, or projection mapping element, BUT at a relatively affordable cost.
Common applications for Event Projection include:
-
Conferences
-
Breakout Rooms
-
Association Meetings
-
Educational Sessions
-
Hotel Ballrooms
-
Large Scenic Environments
-
Projection Mapping Experiences
Advantages of Projection
-
Lower equipment costs
-
Ideal for large image sizes
-
Lightweight compared to LED walls
-
Excellent for breakout rooms
-
Great for projection mapping applications
-
Requires less trucking and storage
Potential Drawbacks
-
Most projections are generally sensitive to ambient light
-
Much lower nit brightness when compared to a general LED wall
-
Image quality can suffer dramatically in brightly lit rooms
-
When casting to Projection Screens at large distances there is great room for error if projectors aren’t carefully placed
Now when you do a side by side analysis of both options, one may assume that LED walls are automatically the best choice because they are the newer technology, BUT that is one of the greatest misconceptions to be made when evaluating this decision.
Believe it or not, we have witnessed numerous cases where clients spend a significantly higher premium on LED simply because they believed it was the best solution when projection would have delivered the exact same audience experience.
And vice versa… We’ve seen a countless number of clients choose projection to save on production cost, only to discover that the venue’s lighting conditions made the content difficult to see.
But in all honesty, the right decision depends on several factors like:
Venue Lighting Conditions
A great point of reference to use is, if your event:
-
is held in an open exhibit hall
-
is being hosted in a room with large windows
-
is a venue where significant ambient lighting that leaks onto the projection
-
is at an outdoor event space
then a LED Video Wall will outperform that projection dramatically, BUT if you have complete control over the venue lighting and the event space can be fully darkened, then your projection should provide premium results at a lower cost.
Audience Viewing Distance
LED walls are known for performing well at variable distances based on the scale of the display, but it can become more costly based on how large the wall must be. But this is where a solution like Event Projection becomes much more cost-effective as image sizes increase and viewing distances grow.
Content Type
One important factor is the consideration of what must be displayed to your audience.
-
Are you displaying PowerPoint presentations?
-
Are you showing video content?
-
Will you be running advertisements from Event Sponsors?
-
At any point during the presentations, will you be displaying detailed spreadsheets?
These are a few variables to note because truthfully, certain content types benefit significantly from LED’s higher brightness and contrast in comparison to Projection.
LED Wall Installation vs Projection Installation
Another area where many Event Organizers underestimate the difference is in logistics. With LED Wall Installation a typical wall requires:
-
Numerous LED panels
-
Ground Support or Overhead Rigging
-
Video Processing Equipment such as NovaStar
-
Proper Power & Signal Distribution
-
Rigging Labor & Video technicians
and depending on their size, Wall Installations can take several hours to multiple days before they’re fully assembled and QC’d before an event.
On the other hand, Projection Systems typically require:
-
Projectors
-
Projection Screens
-
A Proper Lens Selection
-
Rigging Points in the event that the projector is flown overhead or mounted to a base tower from the rear of the venue
-
Video Signal Distribution
and while alignment and blending can be technical and a bit tedious in some cases, Projection Systems are generally faster to install and require less physical infrastructure because of their size; easily reducing labor costs and simplifying venue logistics.
Event Budget
In reality, as a Event Coordinator, your best decision is to invest your budget in whatever department needs to be prioritized.
Ask yourself these questions… Would your attendees benefit more from (a) better:
-
audio experience?
-
dynamic lighting experience?
-
scenic elements?
-
Variable breakout technology?
because at the end of the day, the display technology should support the overall experience, but not consume the entire budget.
So all in all, when is Projection the Better Choice?
Projection often wins when:
-
Your event budget is a primary concern
-
the venue’s lighting can be controlled
-
Scenic Projections are a part of the design
-
Multiple breakout rooms are required
For conferences and association meetings, projection continues to be one of the most cost-effective visual solutions available.
When an LED Wall Is the Better Choice
LED walls often win when:
-
The venue is brightly lit
-
Visual impact is a priority
-
The event will be live streamed
-
Your sponsors require premium visibility
-
Attendees will be seated close to the screen
-
Brand perception is important
For product launches, executive presentations, and modern corporate events, LED walls frequently provide a stronger audience experience.
